As independent contractors, real estate agents know all too well the importance of tracking business expenses. So if you’re the type who shows up at your tax preparer’s office every April 14 with a shoebox full of receipts, then you should try Lemon, a free mobile app that can track your receipts and expenses on the fly.

Yep, say goodbye to rumpled pieces of paper. Better yet, say goodbye to that ugly feeling of knowing you forgot to keep your receipts and track them. Lemon is available for iPhone and Android users and has the potential to remove a lot of that tax time stress when trying to go through expenses.

How it works:

  • Snap a photo of your receipts using your smartphone’s camera, or email your online receipts to your @lemon email account.
  • Lemon organizes and stores your receipts online, so you’ll never lose access to them.
  • Tag and search your receipts online using your Lemon account.
  • Never lose or forget a receipt again!

Besides regaining some sanity over out-of-control accounting, Lemon provides the following benefits:

  • No more scrambling to find receipts and organize business expenses.
  • Simple interface: Some other apps will take your expense tracking even further, but Lemon’s simplicity means you’re more likely to use it regularly.
  • Lemon creates graphs to show you where your money goes (something we may not want to admit we don’t know much about, but we’re human after all).
  • Give merchants your @lemon email address and Lemon will prioritize what needs your attention (meaning you can count on less spam from these merchants because you won’t have to deal with it).

Cool Apps: Penultimate Offers Easier Note Taking on iPad

Probably the greatest thing about an iPad is the direct hand-to-screen interaction it allows you. It’s why I love stumbling across great apps that really take this ability to the next level and allow me to be more productive.

Enter Penultimate, an app built for iPad that essentially gives your finger the same power as pen and paper, with a few more perks.

For instance, you can import photos and images onto your notebook pages, from your photo library or from your iPad’s camera (if you have an iPad 2). You can move, resize and write on the images.

I see a few great uses for this in real estate:

  • Take notes while touring properties with your clients. Remember the details that your client’s really liked simply by taking a picture and adding a notation. Careful note taking and observation can often help you better figure out how to help your clients find the home they’ve been looking for, rather than continue to see properties that don’t quite match – wasting your time and theirs.
  • Take notes while on broker tour. A picture can capture a home much better than simple notes on a scratch pad. Now imagine being able to take a picture and write down a few details to remember, all in one place.
  • Take notes while on inspection. This is a definite potential wow moment for your client too when you come back and show them pictures and notes to help remember details of specific inspection items that need follow-up.

All this and it’s as an organic experience as using pen and paper to capture your thoughts – except that your odds of losing it are much lower.

Cool Apps: How and Why to Get Your Facebook Subscribe Button

Last week, Facebook unveiled a new “Subscribe” button to give users the same sort of one-sided following experience they get on Twitter and Google+. This is a new feature that’s not automatically placed on everyone’s page, which is why agents should take a few moments to understand what it is and how to get it.

The “Subscribe” button is very useful for real estate agents who are using Facebook to interact with clients, potential clients and business partners because it enables you to gain subscribers (aka followers) without having to become friends with them. A lot of people on Facebook don’t necessarily want to be friends with someone they may be doing business with, but would love to see their updates and feeds.

If you’re using Facebook as a profile page and not a business page in which followers simply “like” your page to receive updates, then definitely take a few minutes to install this button. It’s free, and potentially opens up more opportunities to network. It’s actually a nice bridge between having a Facebook profile page and a business page – something that comes up often with agents because you are your business in a sense.

As Facebook describes it, “Allowing subscribers is a simple way to broaden your conversation on Facebook, while reserving personal updates for people you know well.”

Cool Apps: See Who You May Be Missing on Twitter

Do you often feel like you only see the same 12 or 15 people on Twitter, and never hear from the ones you really want to hear from – the visionaries you follow who are the whole reason you even read Twitter?

Enter Shuu.sh, a fun prototype app that sifts through your Twitter feed and amplifies tweets from the people who tweet less frequently and scales back those from folks who tweet incessantly.

Why does this matter? Because like any other shiny tool out there, Twitter needs some managing to be used wisely for business so that it doesn’t become just another time suck that returns paltry results. A lot of apps out there can help you use Twitter as a content creator/sharer – which is also important for your business. But, Shuu.sh is different in that it could help you better use Twitter as a content consumer, which is important too. None of us has unlimited hours in the day, and yet it’s more important than ever to know what’s going on in the world, what’s going on in business, and what’s being talked about in real estate.

How does Shuu.sh work? Go to the app’s website, http://shuu.sh and log in using your Twitter credentials. Once you’re in, you’ll be prompted to “flick the switch” to see Shuu.sh at work. You’ll immediately notice that some tweets are now displayed in larger fonts, while others are in near-microscopic fonts. As you scroll over people’s icons, you’ll also see a number, which is their “Shuush level.” The lower the Shuush level, the larger the font. You now have a new lens into your Twitter stream.

Keep in mind that Shuu.sh is a prototype app, which means it’s basically just an idea that’s been worked into a little piece of technology. It could be gone tomorrow, or it could be rolled in with other functionality and launched. Better to check it out sooner than later if you’re curious about who you may be missing on Twitter.

As real estate agents, we’ve all been there: kneeling in an unfurnished house, helping our client through a couple of math situations as we compare and contrast a couple of houses and loan situations. That’s why every agent could use a good mortgage calculator app, such as Karl’s Mortgage Calculator in the Android Market or Home Shopper for iOS..

Karl’s Mortgage Calculator enables you to calculate mortgage payments given principal, interest and loan terms. And you can reverse calculate any of the other variables given the other three. Perhaps even more useful, you can see how the monthly payment changes when factoring in additional monthly costs like mortgage insurance, taxes, homeowner’s association dues, and property insurance.

Home Shopper on iOS is just as robust. This app isn’t just for buyers, it’s a must have companion for real estate agents and lenders in the field who need quick answers for their clients regarding the costs and benefits associated with owning a property. Do you need to know the total monthly break down of owning a home, as well as what your tax benefits will be in plain easy to understand terms? Want to be able to compare those figures to what you’re currently paying in rent and then email that entire report to yourself, your agent, your spouse or whoever? Then Home Shopper is for you.

There are literally hundreds of mortgage calculator apps out there. Both of these are very professional looking, without being bloated with unnecessary functions that make it difficult to use. Graphs and charts help visualize the data so it’s quick and easy to understand.

Cool Apps: Send and Receive Texts In Your Web Browser

To sum it up, this week’s feature is a “cool to have in case you lose or simply forget your phone at home some day” app:

Browsertexting.

And yes, the straightforward name pretty much sums up what the app does. It enables Android users to send and receive text messages right through their Web browsers.

It’s free to sign up: Visit Browsertexting.com, create and account, install the app on your Android phone, scan the QR code you’re given in order to match your phone to your account, and you’re off to the texting races.

The benefits?

  • Browsertexting makes it easier to continuously work on your computer and not have to pick up your phone to answer text messages.
  • You can leave your phone undisturbed and charging while you work on your computer.
  • You have backup for when you inevitably forget your phone on the mantel, lose it in the parking lot, or forget it in a restaurant.
  • For most of us, a full keyboard is much more efficient than a pair of thumbs by themselves – although it does lack the humorous mess-ups (a tragedy to Lamebook fans).
  • It works in all popular browsers: IE, Firefox, Chrome, Safari, Opera.
  • Of course, there’s a slick Chrome plugin.
  • It has all sorts of other added features like live synching, no signup, and the ability to cancel messages.

The service is still in beta, which in the app world means there are bound to be glitches here and there. However, I found that it worked quite well.

Cool Apps: Read and Annotate PDF Files On the Go

Business is very possible to do from your smartphone. But sometimes there are roadblocks that come up. Case in point: A contract in PDF format needs a review before sent off to move a deal forward. Until now, it’s been kind of difficult to manipulate that while out in the field – better left done on a laptop.

Enter RepliGo Reader, which enables you to view and annotate Adobe PDF files from your Android or Blackberry device. The app integrates with Gmail, Dropbox, Evernote and other apps.

Here’s what you can do with it: • View and annotate PDF files from your email, memory car, Dropbox, Evernote or the Web.

• Highlight, underline, add arrows, text boxes and other annotation tools.

• Scroll quickly through pages by swiping or tapping the screen.

• Zoom in or out of documents.

• Copy text to your clipboard.

• Send PDF files via Bluetooth, Dropbox and Evernote.

There are more features, but these are the biggies.

No mobile professional should be without a good PDF program on their handheld. You just never know when urgent things come up. Now RepliGo Reader enables you to read and respond – all on the go.

The app is available in the Android Marketplace for $4.99, and also in the Blackberry app store for $14.99 (or a free 30-day trial). It’s not currently available for iPhones, but we’ll tackle an alternative in an upcoming Cool Apps post.


Cool Apps: Get Through the Day Without Your Phone – Really?

Android users: You are growing, and like all other real estate business folks on the planet, you too are addicted to your smartphones. That’s why I thought this week’s app could come in handy for you. Forgot your Android phone at home or the office? Don’t turn the car around, or worse, write off your entire day’s productivity just yet.

Try LookMobile, a free Android app that enables you to access certain basic functions on your phone like text messages and contacts so you don’t have to feel totally cut off from the world or go completely out of your way to retrieve it on a busy day.

LookMobile is available for download at the Android Market. One thing to note is that it does require you to log in using your Facebook account, rather than creating a separate account. Some of you may not like this forced connection, but it does mean one less login and password to keep track of. The developer’s website says that this is a verification process to know that you – the person accessing the phone’s data – are in fact the owner of the phone.

Once you’ve downloaded the app and register your phone, you can log in at LookMobileOn.net and access LookMobile’s three main features: text messages, call log, and your contacts.

Text: You can read and reply to all SMS text messages your phone has received.

Call log: You can see all your recent calls as well as the phone number they came from so you can call them back while on hiatus from your actual device for the day.

Contacts: Access your phone’s entire list of contacts.

LookMobile’s features are pretty amazing when you think about the gigantic inconvenience leaving your phone behind can pose for your busy professional life. But, as tech reviewers have already pointed out, there is a privacy consideration before using the app since you essentially are giving the app’s developers access to your phone’s data.
